UnionCloud Support Wiki is one of several support and community sites for all members of the Union Cloud platform.

Wiki Site
In particular the Wiki site is designed to provide quick and accessible answers to users without having to look through pages and pages of documentation to find a solution to a problem. The Wiki site is based on the MediaWiki template, and takes the usual Wiki style format, we will be allowing all members of the UnionCloud Community to contribute, update and provide their own unique solutions and work-arounds, as well as correct anything they find to be wrong, or rewording things they think could be written in a more user friendly fashion.

The aim of this site is to make the Union Cloud platform an easy to use hub for all student activity, and to ensure you the users have the knowledge and tools to get the most out of it.
The Resources section is the place for you to store all your important files, documents, minutes, notes, strategic plans, basically document you would like to host and make available to people to download, it even has access control, allowing you to list / not list files, so that only people with links could find them, or only users that are logged in can download them.
This is another example of an easy to use module, that has been developed to, allow unions to host files your members, and comes with some easy to use and understand simple tools for displaying them! But don't put your images up here, save them for the Images Library!
This is the summary page, again similar in style to many other UnionCloud Overview pages, it will show you the most recent articles uploaded (20), as it's paginated, though if you wish to load all documents there is a button to the bottom right to do that.
As with most other sections of the Dashboard, this view is set out in table form, listing; The Document Name, A Link to the Document, Document Category, Date Created, Date Uploaded, Number of Views, Number of Downloads, followed by the standard ViewView, EditEdit, DeleteDelete buttons, however this one also has a fourth button, as you can see from the screenshot to the left which has two states, the Green play button, and the Red stop button, for controlling whether you wish to add a particular document to the feature list in the articles view, on the front end, of which there is a screenshot below.
RSS Feeds
An administrator can use this section to set the default options for whether content from News/Articles should be included in your sites RSS Feed. There are two checkbox options:

*Include all events in the RSS feed by default
*Include all articles in the RSS feed by default

Tribes
Group your students in Tribes during the sign-up process for better communications targeting and more.

Using guidance conducted by Redbrick Research, Tribes is a set of groups students will be put into when they first register on your UnionCloud website.

This simply involves the student answering a few Strongly Agree to Strongly Disagree questions (see image above) during registration, then they will be put in one of the following:

* Fun Lovers
* Studious Solos
* Flow Goers
* Leading Lights
* Conscientious Carers
* Party People

Each Tribe will then be set up as a user group which you can use across your UnionCloud site as you would any other group. Particularly useful if you want to send targeted communications to different Tribes.

Can I create my own Tribes?
Yes! This is possible in Admin>Setup>Tribes. Check 'Override OneVoice Tribe Rules'.

Then head to 'Tribes Setup' and click 'Add Tribe'.

As you can see here, you can then give your new Tribe a name, description and setup the rules for that Tribe.

IMPORTANT
Please be aware that setting up the various rules for each tribe takes a fair amount of logic and could take some time for whoever is doing it. Therefore we recommend that unless you have the time, stick to the OneVoice Tribe rules.

Permissions
This section allows you to create permission sets which then can be assigned to the user groups. This gives you control over who you would like to have access to areas on the platform. For example, you can create a permission set for group administrators giving them access to only the backend of their club/society page to manage and run their group. When creating a new permission set there are three types which are the following:

New Union permission set- This option gives accesses to everything on the dashboard, this is usually assigned to staff.

New Group permission set- This option gives access to the group page of the dashboard, so group admins can manage their club/society.

New Event permission set- This option gives access to managing the events side of things where you can assign a permission set to a user/
admin to update upcoming events.

Once you have selected a type you will see a number of checkboxes allowing you to select what you want users to have access to in that permission type.

Programmes
Multiple Programme Management
Previously a user was by default able to store multiple programme memberships, UnionCloud was designed this way to cater to Universities where students Study Joint Honors and are added to multiple programme codes, and also to cater to colleges where a user is likely to have multiple different courses. An outcome of this was that if an institution sent an updated Student upload file, which included a new Course, say for example a student has changed course, it doesn't instinctively remove the user from the previous course. If an institution wished to end a users programme membership, they needed to update to expire it.
This caused problems as not all institutions sent data to expire users. As a solution we have added an option to Setup which allows Unions to restrict program membership to one program per user, meaning if this option is selected and a user is uploaded with a new programme membership, it will auto expire their previous one and replace it with this one. It can be found at
/administrator/unions/programmes_configuration
Or Dashboard >> Admin >> Setup >> Programmes

Alumni
This section allows you to set the number of days the system will keep alumni data before it removes personal details for GDPR. All you need to do it enter your number of days into the textbox and click save. Alumni data will now be automatically deleted after the set amount of days has been reached.

As an administrator, you can use this section to set-up several options regarding finance on your site, such as nominal codes, service charge and shipping charge management. However, before making changes in this section we recommend you speak to your finance staff and consult the documentation.

Nominal codes are unique reference numbers which your Finance staff will use for tracking where to allocate funds when downloading a Finance Report. They are useful for auditing and keeping track of your finances. As an administrator you can use this section to manage your nominal codes and create new ones.
All you need to do is click on the Subscribe union to existing Facebook page/Twitter radio button and you will be prompted to login to your social media account.

* Fun Lovers
* Studious Solos
* Flow Goers
* Leading Lights
* Conscientious Carers
* Party People

*IMPORTANT*

Reports
This section allows you to set a minimum threshold, for number of users, for the demographic reports which you can download throughout the system. All you need to do to set this is enter your required number into the textbox and click save.

This is the general overview of Digital Rep on your website, where you can quickly filter through data and generate reports.

You have the option to view data in a graphical or list view.

Generate report will create a custom CSV file with all the data in your filtered search which you can then download to your computer.
MarComs is a Portmanteau of the words Marketing, and Communications, and that is largely what this section covers, it includes all of the areas to edit content on your site, add 'News Articles', send out Emails to your members (Campaigns), and managing all of your Uploaded Images & Documents.
Managed is an eShop managed by the UnionCloud team, and stocked by Epona, the Fairtrade clothing supplier that is a subsidiary of NUS, as the shop.
Union is the most common option, and refers to an eShop managed by a member of staff at your Union, and requires you to upload and maintain your stock, and stock levels, reviewing and dispatching orders.

Digital Rep - Direct student feedback through their course rep
Digital Rep on UnionCloud allows students to give course feedback directly to their course reps. It is completely anonymous, with the feedback going only to the Course Rep, and means that students can

By submitting your feedback, you are creating positive change for students on your course, and for future students at the University.

Setup
Statuses
The statuses are the different stages that submitted Student feedback is at.
# Approved - A student has submitted feedback, the Course Rep has read it and approved it
# Rejected - A student has submitted feedback and the Course Rep has rejected it
# Submitted - A student has submitted feedback which is pending review from their Course Rep
# Archived - Previous Approved/Rejected/Closed feedback which you have archived
# Closed - Closed cases of student feedback

In this section you can customise the responses and categories into which you group ideas and concerns.

The 'Closed' status alias is editable, giving you the freedom to choose your own language.

Types
Here you can provide alias to the digital rep types. The alias name that you provide will be reflected throughout the Union.

Thresholds
Put a number higher than 1 here so that when the number of likes equals to this, an email notification is sent to the Course Representative notifying that the threshold of the idea/concern is reached.

Then management can take necessary action.

Ideas and Concerns
In this section, your course rep will see all the current and past ideas and concerns that have been submitted. They can see a breakdown of data based on that submission, and it's current status.

How to Approve/Reject an idea/praise/concern
All ideas/praise/concern will automatically have the status 'Submitted', the coure rep can then edit the submission to add an official response and approve/reject it.

This will only appear on the frontend for students that are on that course that go into Digital Rep, once the course rep has approved it.

The course rep also has the option of deleting submissions from the backend as well.

Comment Management
Here your administrators/course reps can moderate comments made on Digital Rep submissions.

You have the option to view data in a graphical or list view.
